This is normal and it happens in almost every busy business. The phone rings exactly when your hands are full. This page takes the problem seriously before it offers you anything: first what it really costs you, then every option you have, with the price and the drawback of each one, including the ones that have nothing to do with us.
Why do you never get around to answering customers?
You do not get to reply because your trade needs your hands and your attention at the same moment: you have your hands in a client’s hair, under a car, up on scaffolding, or you are serving breakfast in the dining room. The phone rings then, not an hour later. It is not an organisation problem, it is a hands problem: they are not free when the phone rings.
On top of that come two things you do not control. First: people write when they have time, which means in the evening, at the end of their own working day, and at the weekend, exactly the hours when a small firm has nobody on the phone. Second: the same enquiry now reaches you on four channels, phone, WhatsApp, Facebook and email, and you are the one keeping track of all of them.
It is not a discipline problem. A one person firm working eight hours with its hands realistically has a few windows a day in which it can write coherently to a customer. The rest of the time the messages pile up, and in the evening you read them all at once, tired.
What does a customer who gets no answer cost you?
A customer who gets no answer rarely calls a second time: usually they write to the next firm on the list, and you never find out they existed. ARIA KNOWS will not give you a percentage here, because any round number on a sales website is made up. Multiply the value of an ordinary job by the number of enquiries you did not get to answer last month.
The part almost everybody forgets when they do the sums:

- The next day reply often arrives too late. By then the person has a quote from somebody else, and you enter the conversation second, not first.
- The answer given in a hurry, between two jobs, costs you as well. A quote written on the move, with mistakes in it, is then negotiated worse than one written calmly.
- What it costs you in your head. Knowing all the time that you have unread messages takes your attention off the very job you are busy with, and that shows up on no invoice.

What options do you realistically have?
You have five realistic options: publish your hours and keep to them, set an automatic reply, hire somebody, pay an external call answering service, or put an AI assistant on WhatsApp. ARIA KNOWS is the last of them, not the only one, and below you will find honestly what each one solves and what it does not.

01The customer knows when you are available and is no longer left thinking you ignored them. You lose the guilt of having the phone on the table during dinner.
The enquiry that arrives at 8 in the evening on a Saturday still goes to somebody else. Published hours say when you reply, they do not reply for you.
An automatic reply in the WhatsApp Business app
02The greeting message and the away message go out instantly, free, from the app you probably already have. The person gets a sign of life within two seconds.
It does not answer the question that was asked. Somebody who writes "how much is a service on a Logan" gets "we will get back to you shortly" and often moves on to somebody else.

03A person understands nuance, can go out on site, can decide and can calm an angry customer down. No option on this page does what a good person does.
It costs the most, it comes with working hours, holiday and days off, and in the evening and at the weekend there is still nobody on the phone. You also have to find them and teach them the trade.
An external call answering service
04The phone no longer rings unanswered during working hours and somebody writes down who called and why. It works well when most of the volume comes by phone, not in writing.
The operator does not know your trade, so they take a message instead of giving an answer. The customer is still left without a price and without a date, and you still have to call back.
An AI assistant on WhatsApp
05It replies within two seconds, at any hour, asks what you would ask and leaves you the enquiry in writing, with a name and a phone number. Evenings and weekends are what count most.
It does not do the job and it does not come out on site.

Most small firms do the first two without calling them options, and then stay there for years. That is not wrong. It becomes a problem only when the number of enquiries grows enough that you can no longer keep them all in your head.
What does each option cost?
The anchor for the comparison is an employee: from 1 July 2026, a full time person on the minimum wage costs the firm 4,418 RON a month, total cost, that is the wage plus the taxes paid by the employer. An automatic reply costs zero. At ARIA KNOWS, the Communication plan costs 199 RON a month, VAT included and with no setup cost.

In other words, a single month of a full time employee on the minimum wage costs the firm as much as 22 months of the Communication plan. We are not saying a subscription replaces a person, only where the comparison starts, so you can decide for yourself.

All the amounts are simple multiplications of the prices each provider publishes, on the same basis, so you can redo them yourself. Nobody appears here with their annual rate, us included. The employee row is a cost reference point, not a like for like comparison. How to check any provider yourself, including us
Ask straight away whether the price shown includes VAT, because this is where most of the surprises come from. Some firms are not registered for VAT, and then their price is the final amount: FlowBotic, for instance, is not listed as registered for VAT in the ANAF register, checked on 9 August 2026. With us the VAT is already inside the figure shown. Anyone can check it, free, on the ANAF website, by CUI.
Ask for the CUI and look the firm up in the trade register: you see how long it has existed and who is behind it. Then ask for a customer in Romania you can speak to on the phone. A serious provider gives you one.
