How much does an AI assistant cost for a company in Romania?Every published price, put side by side by ARIA KNOWS.

We collected here the prices Romanian suppliers actually publish on their sites, ours included, and added the column nobody shows: what the first year costs you, setup included. Then the part that gets written about least, the costs that appear after you sign, ours included.

Every figure attributed below to a named supplier can be checked on that supplier’s own page or in the public ANAF register. Where we could not verify a range, we took it out of the table instead of estimating it.

An AI assistant for a company in Romania costs anything from zero, if you assemble it yourself out of free tools, up to a project quoted on specification, in euro, if you order it from an agency. The ready made Romanian platforms sit between 249 and 1,499 RON a month, and ARIA KNOWS costs 199 or 499 RON a month, with no setup fee.

Prices published by each supplier on their own site and checked on 9 August 2026. The year 1 column is the subscription multiplied by 12 plus the setup fee, at each end of the published range, and for ARIA KNOWS we show the annual option next to it. Where a supplier also publishes an annual price, check it on their page: we do not reproduce it here. The last row carries no figures because agency offers are quoted per project, and a range we cannot point to on somebody else’s page has no place in a table that promises it can be checked.

How to check a supplier’s VAT status

FlowBotic displays its prices with a note that they are exclusive of VAT. We checked the public ANAF register on 9 August 2026: FLOWBOTIC S.R.L. is not registered for VAT, so the displayed price is also the amount on the invoice. The general rule still holds across the market though: a price displayed without VAT by a company that IS registered for VAT means 21% more to pay. Look up a supplier’s tax code in the ANAF register before you compare two offers, ours included: ARIA KNOWS is operated by Annapolis Tour S.R.L., CUI RO38461850.

From a free tool to a bespoke project

Why do the prices differ so much?

Prices differ because four different products hide behind the same word: a tool you configure yourself, a ready made messaging platform, a system that also runs the firm’s operations, and a project written from scratch. ARIA KNOWS is the third kind, which is why it costs more than a messaging chatbot and much less than an agency.

The tool you assemble yourself

Free plans and small subscriptions, usually in euro and from international suppliers. It answers general questions, but it knows nothing about your firm until you tell it, it does not connect to invoices or projects, and there is nobody to call when it breaks. The real cost is your time.

The messaging platform

Whapi.ro, at 249 to 549 RON a month with VAT included, or FlowBotic, at 499 to 1,499 RON plus setup. It solves one problem well: somebody answers on WhatsApp around the clock. The conversation stays separate from the rest of the firm though.

The system that also runs operations

This is where ARIA KNOWS sits, at 199 and 499 RON a month. The difference is not how well the assistant writes, it is that the conversation with the customer and that customer’s money end up in the same record: leads, projects, payments, e-Factura.

The project built from scratch

Agencies quote per project: an implementation paid up front, plus monthly maintenance, and bespoke development is negotiated on specification. It makes sense when you have a process that looks like nobody else’s. For a firm of ten people, it rarely does.

Check who invoices you

The price matters less than the company behind it, and in this market the legal entity is not always Romanian. FLOWBOTIC S.R.L. has CUI 54392574, its registered office in Oradea and has been incorporated since 31 March 2026. Whapi.ro is ADDO VISION SOLUTIONS SRL, CUI RO32203240. ARIA KNOWS is operated by Annapolis Tour S.R.L., CUI RO38461850. Ask anyone for their tax code before you pay and look it up yourself, and if a supplier has no entity in Romania, ask where it is registered and who issues your invoice. The part nobody writes about

What costs appear after you sign?

After signing there are usually five costs and one clause: the setup fee, the messages Meta charges for individually on WhatsApp, phone minutes, going over the plan, the VAT that was not in the displayed price, and the contract. Two of them exist at our end too and are written below as such: the Meta fees, rebilled at cost, and voice minutes beyond the ones included.

The setup fee

You pay it once, but you pay it in the first month, when you still do not know whether the product works for you. In the Romanian market it runs from zero up to 2,499 RON: FlowBotic publishes one on all three plans, Whapi.ro does not publish one, and ARIA KNOWS does not have one. At ARIA KNOWS we do the configuration ourselves and it is included in the subscription.

The messages Meta charges for on WhatsApp

Any assistant that answers on WhatsApp goes through the Meta invoice, whichever supplier you use. Meta charges individually for some messages, at a rate it sets and which differs from one market to another. It is a cost that appears at our end too: ARIA KNOWS rebills it to you at cost, with no markup, and you see it separately on the invoice.

Phone minutes

Voice is the most expensive part of an AI assistant, because you pay per minute spoken, not per subscription. Here too we have a variable cost: the ARIA KNOWS Operations plan includes 200 minutes a month, and beyond them you pay 1.50 RON a minute. If a supplier sells you phone calls and does not tell you the price of a minute, that is the price you will discover on the invoice.

What happens when you go over the plan

This is where the difference between a price and an invoice hides. Ask any supplier, in writing, what happens the first time you go over: the service stops, you are moved automatically to the next plan, or somebody calls you. At ARIA KNOWS the only variable costs are the two above, the Meta fees rebilled at cost and voice minutes beyond the ones included, and the exact terms are the ones in the offer you sign.

VAT

The standard rate in Romania is 21%. A price displayed without VAT by a VAT registered company is not the price you pay, it is the price plus another 21%. The figures are in the section below.

The clause: the contract and the data

This is not a cost, it is a risk, and it is fair that you read it beforehand. An annual subscription paid up front means you pay twelve months before you know whether the product holds up. ARIA KNOWS is billed monthly and you stop it whenever you want, and annual payment is optional: it costs 10 months instead of 12, that is 1,990 RON for Communication and 4,990 RON for Operations. If you choose it and leave after three months, the period already paid is not refunded, exactly as with the others. That is why we recommend starting monthly and moving to annual only once you see that it works. The data stays yours in both cases.

The arithmetic

Is VAT added to the displayed price?

The price you see is the amount you pay for the subscription, VAT included. The only things that can be added on top are usage you can see in advance: the Meta WhatsApp fees, rebilled at cost, and phone minutes beyond the ones included. The standard VAT rate in Romania is 21%, so a price displayed without VAT by a VAT registered company means 21% more on the invoice.

When you compare, bring everything to the same basis, the amount your bank account sees at the end of the month, and only then look at what each one includes.

When it makes sense and when it does not

Is an AI assistant worth it for a small firm?

It is worth it if you are losing customers because you do not get round to replying, and it is not worth it if you only want to be able to say you have AI. The founder’s solar installation firm, GENECO, runs on ARIA KNOWS: over 300 leads arriving from two websites, 57 customers, 42 projects, 411 documents, 353 supplier invoices that arrive automatically from ANAF e-Factura and 7 people with a working account. Figures counted on 9 August 2026.

The calculation worth doing first

Do not start from the price, start from how many enquiries you get in an ordinary week and how many of them go unanswered overnight or over the weekend. If the answer is zero, you do not need any supplier in the table above, us included, and it is more honest to tell you that now. If it is a few a week, work out what a single one is worth to your firm and compare it with 199 RON a month. Before you pay

What should you ask any supplier before you pay?

Ask three things, in writing: what you pay in total over the first twelve months, setup and VAT included; what happens to the invoice when you go over the included volume and who pays the Meta fees; and what you take with you if you leave after three months. ARIA KNOWS answers all three right on this page.

What do I pay, in total, over the first twelve months?

Ask for the total, not the subscription. A monthly price that looks small can hide a setup fee, VAT added at the end and a contractual minimum. If the supplier will not write you a single figure for the first year, that figure exists and it is not in your favour.

What happens to the invoice when I go over the included volume?

Ask explicitly who pays for the messages Meta charges for, how much a phone minute costs and what happens the first time you go over: the service stops, you are moved automatically to the next plan, or somebody calls you. The answer to this question is the whole difference between a budget and a surprise.

If I leave in three months, what do I take with me?

The conversations, the contacts and the knowledge base you have built are your work, not the supplier’s. Ask how you export them, how long that takes and whether there is a minimum contract period. A supplier confident in their product does not need to tie you down with a contract.

The obligation to design the assistant so that a customer learns they are speaking to an artificial intelligence falls on the provider of the system, which is us, under Article 50(1) of Regulation (EU) 2024/1689. The standard VAT rate in Romania is 21%, so a price displayed without VAT by a VAT registered company will be 21% higher at payment.

How much do WhatsApp messages beyond the subscription cost?

Meta charges separately for some WhatsApp messages, and this cost exists with any supplier of a WhatsApp assistant, not only with ARIA KNOWS. The rate is set by Meta and differs from one market to another. ARIA KNOWS rebills it to you at cost, with no commercial markup, and you see it separately on the invoice.

How much does a phone minute with an AI assistant cost?

At ARIA KNOWS, the Operations plan includes 200 voice minutes a month, and minutes above that cap cost 1.50 RON each. The Communication plan does not include the phone, only WhatsApp. Voice is the most expensive part of any AI assistant, so the price per minute is the question to put to any supplier.

Can I pay annually and does it cost me less?

Yes. At ARIA KNOWS the annual payment costs 10 months instead of 12, that is 1,990 RON a year for Communication and 4,990 RON for Operations, in a single payment. It is not compulsory and we do not recommend it from the start: the period paid up front is not refunded if you leave earlier, so begin monthly, stop whenever you want, and move to annual once you see that it works.

What is the cheapest real option for a small firm?

The cheapest option is a free tool you configure yourself, but it costs your time and it knows nothing about your firm. There are also international subscriptions in euro that are smaller than ours, but they solve only the conversation, not the operations. Among the solutions that tie the conversation to customers, projects and money, ARIA KNOWS Communication at 199 RON a month, with no setup fee, is the lowest entry point in the table above.
